Key Focus of the Role:
(Duties may include, but are not limited to, the following)
- Provides information regarding cases, building permitting and basic plan review processes, plan and permit status and procedures to developers, contractors, property owners and the public at a service counter or over the telephone.
- Acts as receptionist and receives and screens visitors and telephone calls and directs the caller to the proper person or personally handles the call; provides information which requires the use of judgment and interpretation of policies, rules and procedures.
- Performs those day-to-day activities that are required to keep the department (program) functioning effectively including time tracking and payroll.
- Enters and retrieves data and prepares reports using a computer; reviews such reports for accuracy and makes corrections as required; operates standard office equipment.
- Receives plans and other building documents for filing and/or microfilming; ensures proper approvals, ensures that they are complete and contain required information for filing and/or microfilming.
- Receives, schedules, cancels inspections as well as provides information to customers on scheduling building inspections via the Interactive Voice Response (IVR) system and the City website.
- Assists department management with various special projects or programs.
- Researches and assembles information from a variety of sources for the completion of forms or the preparation of reports regarding the building permit process.
- Organizes, maintains and purges various files; develops indexing systems; photocopies and microfilms information as required.
- Uses standard office equipment, including a computer and microfilm and microfiche equipment, in the course of the work.
- May train others in work procedures or direct the work of others on a project or relief basis.
- Performs technical and/or specialized office support work, which requires the exercise of independent judgment, the application of technical skills and knowledge of detailed or specialized activities related to the department.
- Handles and resolves difficult and sensitive situations and responds to general requests from employees and the public for information; researches and answers technical/specific questions.
- Uses a computer to develop and manage databases and/or spreadsheet files to develop special report formats.
- Provides information to the public or to City staff that requires the use of judgment and the interpretation of policies, rules or procedures.
- Organizes, maintains and purges various office files.
- Receives, opens and routes office mail; distributes correspondence to appropriate destination.
- Organizes own work, sets priorities and meets critical deadlines.
- May be required to attend meetings at other locations, pick up and deliver supplies and materials from one location to another.
- Inventories and orders office supplies, equipment, uniforms, etc. to maintain sufficient inventory for office usage.
- Performs other related work as required.
Qualifications and Attributes:
- High school diploma or equivalent AND two (2) years of highly responsible office support experience with a minimum of one (1) year of clerical experience in a building construction, zoning, plan review, customer service, or similar setting.
Any combination of education, training and experience which produces the knowledge, skills and abilities required for the job and related to the essential functions of the position.
Equivalency: May substitute a combination of equivalent education and experience. The city assesses 1 year of fulltime experience as equivalent to one year of education.
- Must possess a valid state driver’s license and maintain a satisfactory motor vehicle record with the ability to obtain an appropriate Nevada state driver’s license within the required time frame.
